Resume tailoring checklist and application tracker

Match a job description to evidence from your experience, review your tailored resume, and keep track of each application.

Download the free tracker (CSV)

No account or email address needed. Open the CSV in Excel, Google Sheets or another spreadsheet app.

1. Capture the role · 2. Match the evidence · 3. Review your resume · 4. Track the application

1. Capture the role

Keep the vacancy beside your resume. Record the employer, job title, original posting URL, location, closing date and time zone. Read qualification and application instructions before preparing your materials.

Choose three to five important requirements. For each, find an example from employment, coursework, volunteering or a personal project. Note what you did, which tools you used and the result you can substantiate. Mark requirements without supporting experience as gaps.

2. Match requirements to evidence

Worked example: all experience below is fictional.

Spreadsheet reporting

Evidence: Maintained an Excel attendance sheet for a student society and prepared weekly summaries.

Resume action: Describe the sheet, the summaries and your own contribution.

Communicating findings

Evidence: Presented attendance summaries at society committee meetings.

Resume action: Explain the audience and what you communicated.

SQL experience

Evidence: None in this example.

Resume action: Leave SQL out of the skills list. Consider a learning project if it matters to your target roles.

Turn the evidence into a clear bullet

For this fictional example: “Maintained an Excel attendance sheet for a student society and prepared weekly summaries for committee meetings.”

Use the employer’s terminology when it accurately describes your experience. Preserve official job titles and dates. Add a measured result only when you can support it; do not invent a percentage improvement.

3. Review the final resume

If you use AI to help draft, review each change against your original evidence. Save the version you actually send.

4. Record the application and its next step

Download the blank application tracker and enter one role per row. It includes deadlines and time zones, evidence for the requirements, resume version, status, confirmation evidence and next action.

Saved
You bookmarked a role for review.
Preparing
You are working on materials or the employer’s form.
Submitted
You completed the employer’s submission step.
Acknowledged
You received a confirmation page, reference or email. Record that evidence separately.

Acknowledgement confirms receipt, not an interview or offer. Once a week, review deadlines, unresolved confirmations and next actions. Keep private resume files and confirmation references in your own storage, not a publicly shared tracker.
